The Mercy Surgery Center is a top class ambulatory surgery center in Ohio. The surgery center, which is part of Mercy Hospital, does a significant number of procedures each week.


Business Situation
Although Mercy Surgery Center had been using Mercy Hospital's document imaging system, they felt the need to bring the process in-house. With the HIPAA regulations quickly approaching, Mercy Surgery Center also wanted to move way from hard copy surgical records in order to comply with the impending regulations.


Business Solution
Mercy Surgery Center wanted to bring a document imaging solution in house; they wanted the ability to scan their surgical records and archive them in a database on their network.

In assisting Mercy Surgery Center, Paradym implemented a cost effective solution that utilized only the best equipment. Mercy Surgery Center designated a workstation that could be used only for this document imaging solution. A Fujitsu ScanPartner 15c was connected and installed to the designated workstation. Both Pagis Pro and doQument software were loaded onto the workstation. Pagis Pro is the software used when the image is scanned. doQument is a document management application designed to make it extremely easy to create a centralized, searchable database of your electronic documents. Without doQument, Mercy Surgery Center would not be able to organize the scanned images in the database.

This solution involved no customization and was able to easily connect to their network. Two individuals received training on the use of the scanner and how to create and organize the database. With the equipment, software, installation, and training, this document imaging solution cost Mercy Surgery Center under $2,000.

With this document imaging solution, the surgery center now archives surgical records in a database that is set up by each month of the year. The surgical records, which contain multiple documents, are scanned in by date, name, and unique identifier. The surgery center still continues to use hard copies of documents while gathering information; however, they archive the information as image files.

All records are electronically archived and backed up each night. This process allows for easy access and retrieval. Also, this document imaging system complies with the impending HIPAA regulations.
